Event Planning 101

Event Planning 101

Why go through the hassle of juggling the myriad details when you could hire us! After all, you've already got enough jobs to do.

But if you’ve been tapped to try and pull something together on your own, it IS possible to plan and execute your own events, and the following tips may help you...

  • Understand how your event can impact the organization's bottom line and meet your goals. Review our information on Events as Marketing Tools, so that you can take full advantage of the opportunities your event presents for your organization.
  • Don't forget any event elements: decor, food, entertainment & games, event collateral (signage, programs, giveaways), and miscellaneous (staff, PR functions, delivery & setup, etc.)
  • The devil really is in the details: check, double-check, confirm and re-confirm all the details for your event. The event may look fabulous, but if you've forgotten the power requirements for the band, or you didn’t contact the right union representative, the silence will be deafening.
  • Make sure you are accommodating all your guests: Will your dance floor hold all your guests? Are there enough restrooms? There are event formulas for all of these areas -- don't underestimate or you'll come up short.
  • Allow plenty of time for setup and breakdown. It always takes at least twice as long to prepare for an event as it does to take it all down! Make sure your facility contract includes time to setup, not just the event time itself.
  • Consider hiring a professional event planner. (You knew we'd bring this up, right?) Professional event managers can handle the dozens of details you may or may not think of -- or have time to think of. Yes, you'll spend a bit more money to allow planners to take care of all the coordination, but the end result will be a memorable event executed flawlessly -- and designed to make you come out on top!

The challenge of planning events lies in:

  • meeting budget & deadlines
  • creating WOW
  • minimizing risks and liability
  • meeting the needs of all attendees
  • coordinating details perfectly
  • negotiating & coordinating multiple vendors
